Job Description:

Responsible for providing executive administrative support to the SVP, Enterprise Analytics, CFO, VP, Finance & SVP, Business Development. The Executive Assistant serves as the primary point of contact for external and internal constituencies, works independently on department related projects,  handles confidential matters with discretion, manages extremely active calendars, expense reports, preparing correspondence, arranging complex travel plans, drafting meeting agendas, documenting meeting minutes and outcomes, and monitoring/reporting on departmental budgets.

Job Responsibilities

  • 25%| Provides administrative support to executive leaders. Assists in coordinating the activities of the department.  Attends meetings as required, including departmental, project and budget meetings. Responsible for monthly budget review, document filing and maintenance. Assists in providing orientation to new employees, arranging office setup with tools and supplies needed.  Approves payroll time for the executive team and their direct reports.

  • 25%| Maintains calendar for executive leaders including, scheduling in-person, telephonic and video meetings. Manages conference participation and vendor meetings.  Manages and organizes a complex travel schedule. Prepares documentation and correspondence. Handles internal and external stakeholder communication across a range of departmental priorities.  Prepares documentation and correspondence including drafting, preparing, formatting and proofreading letters, meeting minutes, memos, reports, spreadsheets, charts and professional presentations.  Supports key internal and external meetings through minutes and after meeting documentation.

  • 20%| Monitors and reports on departmental budget, manages purchases and invoices for the department.  Supports the SOW process for outside consultants. Manages NDA process.  Enter all invoices and create PO’s to ensure timely payment to vendors.

  • 20%| Assists executive leaders in reporting and communicating to key external constituencies, including Boards, Board committees, enterprise and health plan leaders, providing support and follow up.  Assists executive team with projects on request.

  • 10%| Manages critical documents. Prepares responses to correspondence containing routine inquiries and prepare follow up emails to attendees after meetings. Review calendar and inbox to identify upcoming issues and maintain tickler to alert executive leaders on deadlines and key responses. Maintain a variety of department lists and key contacts. Maintain department and organizational charts.  Maintain active project and to-do lists.

 Skills, Education and Additional Information

  • Requires High School Diploma or equivalent
  • Bachelor’s degree preferred
  • 5 years Executive Assistant experience
  • Critical thinking and common sense are required attributes to be successful in this position.
  • Must have thorough knowledge of Microsoft Outlook, Excel, Word, PowerPoint, Publisher, and Visio as well as an aptitude for quick learning. Knowledge of chart, graph and spreadsheet making is desirable
  • Decides when and how many meetings need to be scheduled as well as sending emails to update or request information from managers and staff
  • Plays a role in deciding how information will be presented
  • Works on specialized professional level assignments/projects with general directions and guidance
  • Initiates duties and activities without the need for supervision.
  • Maintains good working relationships with managers, physicians, and staff
  • Conveys a helpful and caring attitude
  • Presents a professional image and approaches situations carefully with tact
  • Discerns when situation necessitates advice and information from supervisor 
  • Manages time, projects, and workflow to meet expectations of supervisor
